Your Questions, Answered

Travel with Confidence

We’ve gathered the questions we hear most often to help you plan with confidence. If you don’t see what you’re looking for, send us a message through our inquiry page and we’ll get back to you.

  • We think travel should feel like a deep breath, not a to-do list. The internet gives you infinite choices, but it can’t give you personal insight. We trade the endless hours of research for recommendations that actually match your style. We’ve been to these places. We’ve slept in these beds. We filter out the noise so you only see what matters. We also take care of the details that don’t show up on a booking site. Is the accessible room actually accessible? Is the airport transfer confirmed? We check. And if something goes wrong while you’re traveling, you’re not stuck on hold with a call center. You have us, ready to sort it so you can get back to your vacation. We take the weight of planning off your shoulders and leave you with the fun part: looking forward to the trip.

  • We see ourselves as your partners, not booking agents. You're trusting us with your time off, and we don't take that lightly. Here's what that looks like:

We Go There First: We never stop traveling, and we only recommend places we have personally been or that someone in our network has vetted firsthand. We've tested the beds, walked the lobbies, sailed the ships, and eaten at the restaurants. Our advice comes from what we've seen and felt, not from a brochure.

People Over Bookings: We keep our client list small on purpose so we can actually focus on you. We take the time to learn your style, your quirks, and your dreams. Judy knows exactly which cabin on a cruise has the best wheelchair access. That's the level of detail we bring.

Your Time is Valuable: You've got enough on your plate without managing the logistics of international travel. We handle the heavy lifting and the fine details, giving you back your time and the freedom to just enjoy the trip.

  • We believe a truly great itinerary is built on curiosity, not just logistics. We treat your vacation as a personal project, not a transaction.

The Whole Picture: We dig deeper than dates and destinations. We ask what specifically sparked your dream, what worries you about the trip, and what would make this the one you talk about for years.

The Right Rhythm: We prioritize flow over checklists. We balance big adventures with necessary downtime and plan the logistics so you never feel rushed or stranded.

Dining Your Way: Whether you're an adventurous eater looking for local street food or someone who prefers familiar comforts, we respect your palate and find restaurants that make you happy, not ones that look good on Instagram.

True Comfort for Everyone: For mobility or health needs, we don't just look at the "accessible" label on a booking site. We verify rooms, transport, and local logistics to make sure the trip actually works for you.

Our goal is simple: to make sure every person in your group, regardless of age, ability, or appetite, has the trip they've been dreaming about.

  • We want planning with us to feel easy. Like chatting with a good friend who just happens to know a lot about hotels and airports.

It Starts with a Chat: We don't use templates. We want to know what makes you tick. Whether you love hunting for street food, need to sleep past 11 AM on vacation, or require a truly quiet room away from the elevator, we build the trip around your habits, not around a generic itinerary.

We Do the Homework: You get to stay in the dreaming phase. While you look forward to the destination, we handle the research, the double-checking, and the reservations.

You're Never On Your Own: You travel with the confidence of having a partner in your corner. If the unexpected happens, you don't have to panic. We're just a text or call away.

  • Fora is a modern travel agency that selects and supports independent advisors. We hold Fora X status, Fora’s highest advisor tier, reserved for advisors who consistently perform at the top of the network. That standing, combined with our Virtuoso membership, gives us preferred relationships with virtually every major luxury hotel group and cruise line.

In practice, that means when you book a 4- or 5-star hotel through us, you are entered into programs like Virtuoso and Four Seasons Preferred Partner that prioritize you for upgrades, complimentary breakfast, hotel credits, and flexible check-in. On the cruise side, our preferred status with lines from luxury ocean brands to river specialists means we can secure onboard credits and perks that are not available when you book direct.

You work with two people who know your trip personally, and those two people carry the access of a major agency behind them.

  • Virtuoso is an invitation-only network of luxury travel agencies and advisors. Membership gives us preferred partnerships with hotels and cruise lines around the world, which means we can offer perks at those properties that are not available when you book directly. Think room upgrades, complimentary breakfast, hotel credits, and flexible check-in. None of that costs you anything extra.

Our Services

  • We offer three levels of service designed to match the complexity of your trip. Whether you need a quick hotel reservation or a fully planned multi-country adventure, we have a path for you:

Hotel Booking: Perfect for when you already know where you want to go but want VIP treatment when you arrive. We book your stay through the luxury programs we belong to, and perks such as daily breakfast or an upgrade may be added when available. It costs you nothing extra. (Complimentary)

Cruise Planning: We help you sort through the endless options of ocean and river cruising to find the right ship, the right cabin, and the right route for your style. We've taken nearly 40 cruises, so we know which ships live up to the marketing and which ones don't. (Complimentary)

Custom Itineraries: This is our signature service. We design fully tailored, multi-stop itineraries from scratch, handling every logistical detail, from flights and private transfers to the right hotels and one-of-a-kind local experiences, along with any accessibility needs. (Includes professional planning fee)

  • We are here for every trip you pack a bag for, not just the big ones.

The Weekend Upgrade: For short getaways, let us add the VIP treatment. When we book your hotel, you typically pay the same rate, and perks such as daily breakfast or an upgrade may be added when available that you wouldn’t get booking on your own.

The Big Trip: For complex, multi-stop trips, we handle every moving part. From the first idea to the final flight home, we manage the logistics. This is especially true for cruising, where we plan the pre- and post-voyage details to make sure transitions between ships, hotels, and airports are smooth.

Real Human Support: Even on a short trip, things can go wrong. Instead of fighting with a call center, you have a real person on your side ready to step in and fix it.

  • This is personal for us. To us, "Universal Travel" means designing a trip where nobody sits on the sidelines. It's about ensuring comfort and dignity for your entire group.

Every Pace, Every Need: Accessibility isn't one-size-fits-all. From slow walkers to full-time wheelchair users, we plan for your reality. We've found that when the person with the most specific needs is comfortable, the whole group can relax.

We've Lived This: We don't just book accessible travel. Judy has spent decades navigating the world from a wheelchair. We know the difference between a hotel that checks the "accessible" box and one that actually works. We look past online labels to verify the things that matter, like whether the bathroom door is wide enough, whether the shower has a proper roll-in setup, and whether the transfer van can actually accommodate a chair. These are the details other advisors miss because they've never had to think about them.

Fairness First: While these trips require extra research and care, we never charge more for it. We apply our standard planning fees no matter what your specific needs are.

  • We do, and we actually love it. We specialize in bringing together the needs of families, friends, and corporate teams to make group travel feel easy instead of chaotic. Every group is different, so we provide a customized quote for our planning fee based on your group size, the complexity of the trip, and how much hands-on support you need.

From securing room blocks and syncing airport transfers to arranging private excursions that everyone will enjoy, we handle the coordination so the organizer doesn’t have to. Our goal is to make sure everyone, especially the person who volunteered to plan it all, can actually relax and enjoy the trip.

  • We focus our full-service flight booking on the premium experience to make sure your time in the air is as comfortable as your time on the ground.

Premium Cabins: For Domestic First and International Premium, Business, or First Class, we manage the whole process. We know the difference between a flat bed and an angled one, and we know which routes are worth the splurge. (Note: a ticketing fee may apply.)

Main Cabin/Economy: For economy flights, we act as your strategic advisor. We research and recommend the best options to fit your itinerary, and then you book directly to avoid service fees.

  • Yes. We provide travel insurance quotes for every trip so you can compare coverage before you decide. We recommend looking at it early, because deposits and our planning fee are often non-refundable once paid.

Pricing and value

  • Every trip starts with a complimentary consultation call to talk through your plans. Here’s how pricing works:

Hotels and Cruises (Complimentary): Our compensation comes from the hotel or cruise line and is already built into the rate, so you pay the same price you would booking directly. At 4- and 5-star partner properties, perks such as daily breakfast or an upgrade may be added when available.

Custom Itineraries (Planning Fee): For fully custom trips, the planning fee is $100 per day of travel, per couple or family. It covers designing the trip, working with our suppliers, refining the proposal with you and looking after the trip through to the end, including your web-based itinerary. The fee is paid after your consultation call, before planning begins. It pays for our work, so it is non-refundable and is not applied toward the cost of the trip.

  • No. The fee pays for the work of designing and organizing your trip, which begins as soon as it is paid, so it is not refunded if plans change or the trip is canceled.

  • This is one of the most common questions we get, and we love it because the answer is good news.

Same Rates, Better Value: In almost every case, the rate you pay with us is identical to booking directly. The difference? Instead of the vendor keeping the built-in commission, that margin funds our personalized service. It costs you nothing extra.

The "Preferred" Advantage: When you book through us, you stop being an anonymous confirmation number. Our industry partnerships ensure you're recognized as a VIP guest, which can add perks such as daily breakfast or an upgrade, when available, that are not offered when you book on your own. Our partners know the best way to keep our relationship strong is to make sure you have a fantastic stay.

In short: you pay the same price (and occasionally less), but you walk away with significantly more value, attention, and perks.

  • Making sure you get the best value is something we take seriously. Here's how the numbers actually work:

Rate Parity: In almost every case, the rates we access are identical to, and sometimes lower than, what you'd find on the hotel's own website.

The Value Math: Even on the rare occasion our preferred rate is slightly higher (say, compared to a restrictive non-refundable deal), the inclusions tip the scale. When you factor in perks such as daily breakfast and a hotel credit at our 4- and 5-star partner properties, the total value of your stay is significantly higher than a bare-bones rate found online.

  • We're avid points collectors ourselves! But while credit card portals are great for earning, they lack the personal touch. Here's how we're different:

Relationships, Not Algorithms: Credit card portals treat you as an anonymous third-party booking. We personally contact the property to introduce you, so you're recognized as a VIP rather than just a confirmation number.

True Priority: Our personal relationships with General Managers carry real weight. We've seen this connection make the difference between a standard room and a corner suite with a view. An algorithm can't pick up the phone and make that call.

Direct Advocacy: If an issue comes up during your stay, you call us, not an 800 number. We use our direct contacts to resolve problems quickly, saving you the frustration of hold music and transfers.

  • If you have an existing reservation at a 4- or 5-star hotel, it's worth checking whether we can add value to it. We can often take over the booking without changing your rate.

How it Works: Simply forward your confirmation email to judy@tudortravels.com. If the booking is eligible, we become the official agent of record. It costs you nothing, and perks such as daily breakfast or a hotel credit may be added that weren’t part of your original reservation.

The Fine Print: We can generally take over direct bookings made with a credit card. We can't access reservations made using loyalty points, credit card rewards, or third-party sites like Expedia.

Getting started

  • The honest answer? As soon as possible. In general, prices go up and availability goes down as time passes. But the real answer depends on what kind of trip you're planning.

    For Custom Land Trips:

    • Bucket-list destinations like African safaris or the Galapagos: 12 to 18 months out.

    • International travel: 6 to 12 months.

    • Domestic trips: 3 to 6 months.

    For Cruising:

    • Expedition cruises like Antarctica or the Arctic: 12 to 24 months. These ships are small and they fill up fast.

    • Luxury and river cruises: 9 to 12 months, or longer for popular European routes.

    • Mainstream ocean cruises: 6 to 9 months for the best cabin selection.

Why start early? It's not about locking in dates on a calendar. It's about options. The earlier we start, the better your room, your pricing, and your access to experiences that sell out. For travelers with specific mobility needs, starting early is even more important because it gives us time to properly vet the accessibility details at every stop.

  • We've made it as simple as possible:

Step 1: Reach Out. Fill out an inquiry form. It gives us the basics: your dates, destinations, or even just a general vibe you're going for. Already have a clear vision? Great, tell us everything. Not sure what you want yet? That's perfectly fine. Just let us know you're looking for ideas and we'll take it from there.

Step 2: The Conversation. We'll schedule a complimentary call. This isn't a sales pitch. It's a real conversation to get to know your travel style, your must-haves, and what makes a trip special to you. We'll brainstorm ideas and help you pick the right service.

Step 3: The Plan. For hotel and cruise bookings, we move straight to securing your reservation and any VIP perks. For custom itineraries, we begin the detailed research and design phase, putting together a proposal that brings your vision to life.
